This policy explains how Valerion Care Group Ltd (“we”) collects and uses personal information submitted through this website. It does not cover the care records we hold for people who use our services — a separate privacy notice will be provided to clients directly.

What we collect

When you complete a form on this website we collect the name, email address, telephone number (if given), reason for enquiry, preferred contact method and the content of your message.

We ask you not to include medical or health information in website forms. If you send such information anyway, we will handle it in line with this policy and delete it once your enquiry is resolved unless we are required to keep it.

Why we use it, and our lawful basis

• To respond to your enquiry — our legitimate interest in answering people who contact us, and your consent given at the point of submission.
• To process job applications — steps taken at your request prior to entering into a contract of employment.
• To process professional referrals — our legitimate interest in providing care services to referred individuals.

Who we share it with

We use two service providers, both of which act as our data processors and may only handle your information on our instructions:

• Netlify, Inc. hosts this website and receives everything you submit through a form. Netlify stores each submission and sends a notification to the relevant Valerion mailbox. Netlify’s data processing agreement is incorporated into the terms under which we use the service.
• IONOS provides our email. Once a notification arrives, your message sits in a Valerion mailbox hosted by IONOS in the UK/EU.

Netlify is based in the United States, so information you submit through a form may be stored or transferred outside the United Kingdom. Where that happens, the transfer is governed by the safeguards set out in our agreement with them. If you would like to know where your information is held, contact us and we will tell you.

We remove form submissions from the hosting dashboard in line with the retention periods below, so the copy held by our processor does not outlive the copy we hold ourselves. We do not sell personal information, and we do not share it for marketing.

How long we keep it

Enquiries that do not lead to a service are kept for up to 12 months and then deleted. Where an enquiry leads to care being provided, the information becomes part of the client record and is retained under our care records retention schedule. Job applications from unsuccessful candidates are kept for up to 12 months so we can contact you about suitable future roles, unless you ask us to delete them sooner.

Your rights

Under the UK GDPR you have the right to access your personal data, have it corrected or erased, restrict or object to our use of it, request portability, and withdraw consent at any time. To exercise any of these, email info@valerioncaregroup.co.uk.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
